Students complete the following
steps when acquiring a graduate assistantship.
- Complete the Application for Graduate Assistantship and submit it
to the department where you wish to be employed. The application will
be routed for signatures and, eventually, submitted to Student Payroll.
- A packet will be prepared for you, which will include an Assignment
Form (contract). If you have never worked for the university
before , you will also be required to complete a W-4 form and
a Form I-9. The Student Payroll Manager may complete the Form I-9 with
you. Please see the sections above entitled “Getting on the Payroll”
and “Taxes” and pay particular attention to the instructions
regarding the Form I-9 .
- Once your paperwork is completed, your compensation will be calculated
into a bi-weekly rate. Time sheets are not required for graduate
assistants . Your assignment is entered as a contract, and
you are paid every two weeks until the contract has expired.
- If you receive a tuition waiver AND your assignment
is a staff position (not teaching or research),
your waiver amount is taxable. Once drop-add is over, your waiver will
be applied to your bill. The total amount will then be entered as a
taxable benefit in student payroll. It will be evenly divided, and you
will be taxed on the amount over several pay periods.
- Payroll stubs are available on the web. Go to https://w3.winona.edu/paystubs/menu.asp
. The only way to be assured that your pay has been deposited
into your account would be to call your financial institution to check.
However, if you see stub information on the web for a pay date AND
you have entered your account information correctly, it is
likely the deposit has taken place. (To verify your account information,
simply go to the direct deposit setup screen; and the most recent information
you entered will pop up. If you need to change the account information,
type over the old information and resubmit.)
