All employees and supervisors are required to document “in” and “out” work times in order to comply with federal regulations and auditing guidelines. In most cases, time sheets are used for this purpose. Your time sheet is an invoice. You are required to complete and submit time sheets according to a payroll schedule, available from your supervisor or in the student payroll office. The payroll period begins on a Wednesday and ends on a Tuesday (2-week period). Time sheets must be submitted, to the Student Payroll Office in Somsen 205-N, by 10:00 a.m. every other Tuesday . You will be paid the following week on Friday. If you want to make sure that you receive your pay on time and for the right amount, complete your time sheet carefully and correctly. Sloppy handwriting, missing information, hours recorded with errors, etc. all delay the processing. You may not get paid at a time when you need it the most. Your time sheet requires your supervisor’s signature every pay period. You should talk with your supervisor to find out what you should do if s/he is out of the office when time sheets are due. A backup person should be designated to sign it for you. Under no circumstances are you allowed to sign your supervisor’s name on the time sheet. That would be a forgery and could result in your facing university sanctions with the WSU Conduct Officer as well as possible dismissal from employment. If you hold more than one job on campus, please put “a.m.” and “p.m.” on your time sheet hours. This helps us understand overlapping hours when we review time sheets. You may not be paid from two different sources for the same hour. For example, if you have a job on campus that requires you to do some work independently and you choose to complete that work while at a second job, you may not put the hour down for both employers. You may only “count” the hour once.
Student employees may not work more than 30 hours per week during fall and spring semesters . (If you have more than one job on campus, your total hours cannot exceed 30 per week.) Nonresident alien students may only work 20 hours per week during fall and spring semesters. During semester breaks (winter and spring), students may work additional hours. During the summer, students may work 40 hours per week, but no more than that. Work study positions are further limited regarding number of hours per week because students’ earnings may not exceed their award amounts.
Student employees earn the minimum wage set by Winona State University . Your supervisor should discuss the pay rate with you. There are several student help positions on campus that offer higher rates of pay due to the specific nature of the job or the special skills or abilities that are required in the position. |
