Student Help

All students are eligible to be employed in student help positions.  Student help is funded by the operating budget of the department which hires the student.  Student help expenditures are entered in accounting and can be verified on MnSCU accounting reports.

Enrollment Requirement

Undergraduate students must be enrolled for a minimum of six (6) credit hours, and graduate students must be enrolled for a minimum of three (3) credit hours, for each academic term (fall and/or spring) during which they are employed.  Current WSU students (enrolled previous spring and returning in the fall) and new, entering freshmen pre-registered for fall, are eligible to work during the summer without being enrolled   Students who have graduated are not eligible for student employment.  

Hours of Work

Student help employees may not work more than 30 hours per week during the academic year (fall and spring semesters) and no more than 40 hours per week during the summer (inclusive of all positions held at the university).  International students may not work more than 20 hours per week during the academic year and no more than 40 hours per week during the summer.

FICA Tax Hire Form

During the summer (when students are allowed to work up to 40 hours per week) it is now mandatory that, if you are hiring a student to work a "normal work schedule" of more than 30 hours per week, you must complete a Student Employee FICA Tax-Hire Form before the student begins working.

Term of Employment
How long can the student work?

The supervisor indicates the dates of employment on the work authorization form.  The student may not work beyond the end date indicated on the form.

Rate of Pay

Student help employees will earn a minimum hourly rate of pay as set by WSU.  If a supervisor wishes to pay a higher rate of pay, s/he must complete an Overpay Authorization Form.

Hiring Paperwork

Returning Employee: (student who has worked for WSU before):  only completes the Work Authorization Form
New Employee:  completes all forms in the New Student Packet (available from Student Payroll)
International Student:  only completes the Work Authorization Form, but a NEW employee must also meet with Student Payroll Manager to complete additional paperwork before work may begin (click on Nonresident Alien Student Employees for more information)

Time Sheets

Use white time sheets - blank forms available from the Student Payroll Office. 

Direct Deposit 

All student employees must use direct deposit for their payroll checks.  When hiring a new student, please detach the Direct Deposit information sheet in the New Student Packet and give it to the student.  Please provide the student with a payroll schedule.

Completing the Student Help Work Authorization Form:

The student completes the first section and signs and dates the form.  No form will be accepted without the student employee's signature.  

Cost Center/s and Dept/Agency Name:
Fill in the cost center to which the student's payroll is to be charged.  Fill in the department or agency name that is affiliated with this cost center.

Start and End Dates:
Fill in the employment period for which you are hiring this student.  Each authorization is limited to dates within the current fiscal year with the exception of those students hired after April 1 each year.  If you hire a student after April 1, you have the option of putting an end date on the authorization that goes through any date up to June 30 of the following fiscal year, e.g., if hiring a student on April 2, 2008, you can put any end date up to June 30, 2009.

Hourly Pay Rate:                     

Leave blank if the student is going to earn minimum wage.  If the student is earning a higher rate of pay, fill in the amount and indicate whether the Overpay Authorization is already on file or attached.

Job Description:

On Student Help authorizations, a minimal job description is required to determine coding for worker's compensation insurance.

The supervisor must complete this line.
