Date Privacy
Certain information recorded on student payroll documentation (e.g., social security number, Visa type, etc.) is private in nature. It is mandated that the Student Payroll Office retain copies of all student payroll documentation for a period of time specified in the document itself or per a retention schedule.
Supervisors must not photocopy and retain W-4 or I-9 forms.
Furthermore, if supervisors choose to photocopy and retain authorization forms and time sheets, they must keep all such copies locked in a secure file at all times. At the time of disposal, these documents must be shredded.
If your student employees have access to private information on payroll documents, they must be instructed as to the confidential nature of this material and the university guidelines regarding non-disclosure of private information. Appropriate disciplinary actions should be in place and relayed to such student employees upon hiring.
