Mail Room

The Mail Room is located in the Service Building, 175 West Mark Street.The hours of the Mail Room are 8:00 a.m. – Noon and from 1:00 p.m. – 4:30 p.m., Monday – Friday. During the summer months, the hours are the same except we are open at 7:30 a.m.
Incoming mail is delivered to all departments before noon, Monday through Friday and outgoing mail leaves campus approximately 3:00 P.M. each day.
When envelopes are obtained from Mail & Supply, all charges for the cost of each envelope and the cost of 1st Class postage are included in two separate chargebacks.
Mailing charges for large envelopes and/or boxes will be assessed to the appropriate cost center on the day of the mailing.
Size #6 and #10 envelopes must have a printed Winona State University seal and proper return address. If envelopes without this identification are received by the campus Post Office, they will be metered only if the department or organization’s return address is on the envelope.
If you have made errors on envelopes and they cannot be used, they may be exchanged at the Mail & Supply Room for new envelopes. You will be charged for the new envelope.
Winona State University has the following permits with the US Postal Office: 1) First Class Permit #200 2) Business Reply Permit #232 (Printer envelopes are available in the Supply Room.) 3) Third Class Permit #192 used for bulk mailing
Bulk mailings require special handling by the Mail Room. Please call Ext 5055 for further detailed information concerning bulk mailings.
Because Winona State University maintains these permits, postage stamps are not a reimbursable item for any department or organization.
Our mail machine only accepts envelopes with the flaps down. Please make sure the flaps are folded down.
Please put a return address on ALL envelopes. If there is none, the envelope will be opened to determine where to charge the postage. This delays delivery, takes time, and ruins packaging. If the postage is to be charged to a special departmental account, please note the account number on the envelope/package.
Place a rubber band around all envelopes addressed for international mail to identify them from regular mail.
Unsealed envelopes are easier for us to handle. If you want to seal them, please separate them from the unsealed envelopes.
If you have more than the normal amount of mail to be picked up, please call the Mail Room for a special pick up. It is hard to pick up a lot of extra mail while on the normal mail route. If the mailing is picked up earlier, it can be processed quicker.
Personal mail should be put in U. S. Postal Mailboxes and not in inter-campus mail baskets. There is a U. S. Postal Mailbox located in front of Somsen Hall on Eighth Street.
All inter-campus mail should be addressed with a name and department. Office locations are not used in the sorting process.
