Winona State University - Employee Technology Agreement

The purpose of this Agreement is to provide a technology package to University Employees that includes the use of a laptop or other computing device, technical support, and the use of licensed software.

In Consideration of the mutual covenants and conditions contained in this Agreement, WSU and the Employee agree as follows:

Provision of Equipment

University agrees to provide Employee with a laptop or other computing device as is deemed necessary for the Employee to perform his/her duties at University. Employee understands that this equipment is the property of University and as such shall be returned to University when Employee ends his/her employment relationship with University. At no time shall Employee sell, give away, or otherwise dispose of any equipment provided to him/her by the University.

Permitted Use of Equipment

Employee understands and agrees to use the laptop or other computing device and all technology services provided by University in a manner in accordance with federal, state, and local laws as well as University and MnSCU policy. The University reserves the right to terminate Employee’s use of equipment or technology services as a result of Employee’s failure to use these resources in accordance with such laws or policies. Laptop Alterations

Employee shall not make any alterations, additions, or improvements to University equipment without the prior written consent of the University. Prohibited alterations include, but are not limited to, adding additional memory or Input/Output devices. Employee shall not remove or alter any State of Minnesota, WSU, or Service Provider’s identification labels that are attached to or displayed on the equipment or peripherals.

Lost, Stolen, or Damaged Laptops

Employee shall take reasonable care to maintain University Equipment and peripherals in a safe and secure manner. The cost of any repairs to University equipment as well as the cost of replacement will be billed to the Employee’s department.

In the event the equipment is lost or stolen, Employee must immediately notify Information Technology. Employee must report the theft of any University equipment to the Police Department and obtain a copy of the police report. A copy of the police report must be submitted to Information Technology.

Separation from Employment

All University equipment and peripherals must be returned to University at the time of Employee’s separation from the University regardless of whether the separation is voluntary or involuntary. Under no circumstances, is an Employee permitted to retain equipment purchased with University funds. All equipment must be returned by the Employee’s last date of employment.

Should an Employee fail to return University equipment by the last date of employment, Employee will be billed for the replacement cost of the equipment.

Employee has read and understands the above, and by signing this Agreement, intends to be bound thereby.

Amendment and Notice


WSU reserves the right to amend the terms of this Agreement upon serving Employees an email Notice of Amendment. Notice of Amendment shall be effective thirty (30) days from the date of the emailed notice. WSU reserves the right to correct clerical errors to this Agreement without notice.
