Grades & Transcripts

Grades and transcripts are key elements of your academic record as a WSU student. A transcript shows all the courses you’ve taken and the grades you’ve received at an institution.

A transcript is different from your diploma. Your transcript proves that you’ve completed all the requirements to earn the degree listed on your diploma.

Check Your Grades

Every semester, final grades are reported by the Wednesday after final exam week.

Students can check grades in Student eServices by choosing "Academic Records" from the left-hand column. Then choose the option to “Check Grades” and select the term you wish to view.

Some professors will post grades for coursework throughout the semester in D2L. If you are concerned about your grades in a class, talk to your professor.

Also, consider going to Tutoring Services, the Writing Center and other campus resources to improve your academic success.


Order Transcripts

You can access your unofficial transcript, official transcript and co-curricular transcript depending on the information you need.

The process for ordering transcripts is a bit different depending on whether you are a current student, recent graduate or an alumni.

WSU may withhold official records and documents such as transcripts, diplomas, and enrollment or degree certifications if you have outstanding financial obligations to the University.

Unofficial transcripts are generally used on campus by students and advisors when registering for classes.

If you are a current student or were enrolled at WSU after 1980, you can access your academic record online through Student eServices. Students may view and print an unofficial copy of their academic record to their own local printer.


How to Access Your Unofficial Transcript

You will need to have your StarID and password to log into eServices.

If you don’t know your password or your StarID, you can reset your password.

If you have not activated your StarID yet, you can activate it on the StarID website. You will need to know your WSU Tech ID to activate your StarID.

  1. Log in to Student eServices. If you want your name to appear on the document, remember to check the "Display Name" box.
  2. Select "Academic Records" from the menu on the left and then “Unofficial Transcripts”
  3. Leave the “Sort By” selection as “Chronological” and then click the “Get Academic Record” button
  4. Your unofficial transcript will appear on the screen. You can download a copy to print by clicking the PDF icon.

For WSU students who have attended other schools within the Minnesota State system, we are able to process transcripts electronically for free.

Students should complete the online Degree Audit & Transfer Credit Request form and select the option "I went to another MinnState school."

This form is not a request to have WSU provide you with an electronic version of your WSU transcript via email or to mail of copy of your WSU transcript.

Be sure to clear up any holds on your account at the schools from which you are requesting WSU process transcripts.

By submitting this form, you will not receive an electronic or a printed version of your WSU transcript. Your transcript information will be shared between the colleges and universities.

If you want to view your unofficial record or request an official transcript, follow those procedures for current students.

An official transcript is sometimes required by employers, graduate schools or other programs to verify that you have earned a diploma.

Official Transcripts sent via mail or pickup are free for current students and students who have recently graduated within one semester.

Transcripts being sent to a Minnesota State College or University do not need to be ordered via this service.

Contact the school's Admissions or Registrar's Office at your transfer school and ask them to access an e-transcript for you. There is no charge for this service.


Free Delivery Options

Paper Transcript – Walk-Up Service

You can make Official Transcript Requests in person at the Warrior Hub in Maxwell 209. This is a free service, and you’ll receive a paper copy of your official transcript in a sealed envelope.

Paper Transcript – WSU Online Form

Current students have the option to use WSU’s free Transcript Request process. Transcripts will be processed within 5-7 business days.

If you are mailing your transcript internationally or via express service, extra mailing fees may apply.


Online PDF Delivery

To send someone a secure PDF transcript via email, you will need to pay for online transcript delivery through our National Student Clearinghouse vendor.

The fee is $9.25 per transcript requested.

There is a $9.25 fee per transcript requested.

Please note that transcripts are issued in the order they are requested. If you are ordering transcripts near the end of term, please allow at least two weeks for delivery to due increased demand.

WSU does not fax transcripts.

Alumni and former students can order their transcripts through the National Student Clearinghouse vendor in the following formats:

  • eTranscripts with emailed PDF delivery
  • Mailed paper transcripts
  • International mailed transcripts

Please print the form and provide required information. You must sign your request and either send to the following address or deliver to the WSU Warrior Hub in Maxwell 222.

A Co-Curricular Transcript (CCT) is a verified record of your involvement in activities or events at WSU that demonstrate learning experiences gained outside the classroom.

A CCT showcases your leadership experience to employers, graduate schools, scholarship committees, and it can give your application a competitive edge.

Starting October 2018, students can request a Co-Curricular Transcript be mailed, picked up or delivered electronically.

Please note that transcripts are issued in the order they are requested. If you are ordering transcripts near the end of term, please allow at least two weeks for delivery to due increased demand.


Current Students and Recent Graduates

Current students and recent graduates have three options for obtaining their official Co-Curricular Transcript.

Paper CCT - Walk-Up Service

As a current student or recent graduate, you can make Co-Curricular Transcript Requests in person at the Warrior Hub in Maxwell 209.

This is a free service, and you’ll receive a paper copy of your CCT in a sealed envelope.

Paper CCT - WSU Online Form

To have a paper CCT sent in the mail, you can use WSU’s free Transcript Request process. Transcripts will be processed within 5-7 business days.

If you are mailing your transcript internationally or via express service, extra mailing fees may apply.

Online PDF Delivery

To send someone a secure PDF CCTs via email, you will need to pay for online transcript delivery through our National Student Clearinghouse vendor.

Alumni and Former Students

Alumni and former students can order their Co-Curricular Transcripts through the National Student Clearinghouse vendor in the following formats:

  • eTranscripts with emailed PDF delivery
  • Mailed paper transcripts
  • International mailed transcripts

The fee is $9.25 per transcript requested.

Order Duplicate Diploma

Original diplomas are mailed to the diploma address indicated on your graduation application 10 weeks after graduation. If you have misplaced your diploma or just need another one, you can request to order a duplicate diploma. Diploma orders are placed weekly and generally take 4-6 weeks for delivery. For a non-expedited duplicate diploma shipped within the contiguous US, a $10 fee is required. We will process your international or expedited diploma order as well and will work with you to determine the increased fees based on your location and delivery time expectations. The fee will be placed on your WSU student account regardless of enrollment status. Please review the WSU Payment Options on the Payment Procedures webpage.

Degree & Enrollment Verification

In order to qualify for employment, insurance coverage, or scholarships, or to satisfy certain legal requirements, you may need to provide proof of enrollment or proof of graduation.

Human resource offices in some large companies routinely request such information on behalf of new applicants.

To assure compliance with state and federal laws that guarantee data privacy, the Registrar's Office requires that all such requests be in writing and be accompanied by a signed release from the student.

Winona State University regularly provides a complete file of enrollment and graduation data to the National Student Clearinghouse.

It’s often faster and more convenient to get this information through the Clearinghouse than it is to make a request at the WSU Registrar's office.
