Some club information is automatically uploaded to the&nbsp;<a href=\"https:\/\/www.winona.edu\/student-life\/clubs\/student-clubs\/\" data-type=\"page\" data-id=\"2021\">Clubs &amp; Organizations<\/a>&nbsp;webpage to keep the public list as up to date as possible.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you do not submit updated versions of the required club documents by the deadline, your club will be considered inactive. This means that your club will not:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>have an official recognition as a club\/organization at WSU&nbsp;<\/li>\n\n\n\n<li>be able to apply for funding, reserve rooms or use WSU resources&nbsp;<\/li>\n\n\n\n<li>be promoted on the Clubs &amp; Organizations webpage<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">If you are a new club that has not been approved by Student Senate or your club lost recognition and wishes to start up again, you will need to follow the&nbsp;process for <a href=\"https:\/\/www.winona.edu\/student-life\/clubs\/student-senate\/start-a-club\/\" data-type=\"page\" data-id=\"2251\">starting a new club<\/a>.&nbsp;<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you have any questions or problems with the forms, please contact the Alliance of Student Organizations Director at\u00a0<a href=\"mailto:ASO@winona.edu\" target=\"_blank\" rel=\"noreferrer noopener\">ASO@winona.edu<\/a>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Update Your Club Directory Listing<\/strong><strong><\/strong><\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Each year, you must update your club directory listing with the latest constitution, membership roster and club leader contact information.<\/p>\n\n\n<div class=\"wsu-block accordion\">\n        <div class=\"accordion__item\" data-animation=\"fade-in-up\" data-animate=\"true\">\n        <button id=\"Step_1:_Access_the_Online_Club_Directory_Form\" class=\"accordion__toggle\" title=\"Step_1:_Access_the_Online_Club_Directory_Form\" aria-pressed=\"false\">\n            Step 1: Access the Online Club Directory Form        <\/button>\n        <div class=\"accordion__content\">\n            <p style=\"font-weight: 400\">Log into the <a href=\"https:\/\/warriorspace.winona.edu\/ProcessDirector\/login_ntlm.aspx?bp_nextpage=https%3a%2f%2fwarriorspace.winona.edu%2fProcessDirector%2fform.aspx%3fpid%3dcbc76cfa-e332-489a-a868-237dcf390893%26formid%3d6dcc5c3d-58d9-492d-acff-eeceb163e5b8%26forminstid%3d%26wfinstid%3d%26prinstid%3d%26tlid%3d%26testmode%3d%26parsecontrols%3d%26CTRun%3d%26CTConfigure%3d%26CTContainerFORMID%3d%26CTContainerWFID%3d%26CTContainerRULEID%3d%26CTContainerPRID%3d%26completepage%3d%26completepageprompt%3d%26completetext%3d%26url%3d%26INFOMSG%3d%26linkwfid%3d%26linkprid%3d%26nottask%3d%26findtask%3d%26caseinstid%3d%26indash%3d%26incasef%3d%26targetportlet%3d0%26howtoopen%3d1&amp;skipintegrated=&amp;skipsaml=\">Online Club Directory<\/a>.<\/p>\n<p style=\"font-weight: 400\">You will select \u201cedit existing club\u201d and locate your club. You can also search for your club based on its category. Some clubs are listed as Winona State xx Club, or WSU xx Club, so look carefully!<\/p>\n        <\/div>\n    <\/div>\n    <div class=\"accordion__item\" data-animation=\"fade-in-up\" data-animate=\"true\">\n        <button id=\"Step_2:_Edit_Club_Information\" class=\"accordion__toggle\" title=\"Step_2:_Edit_Club_Information\" aria-pressed=\"false\">\n            Step 2: Edit Club Information        <\/button>\n        <div class=\"accordion__content\">\n            <p>Scroll down to start editing your club information. Only identified student club\/organization leaders or the WSU advisor can make edits. Update names and contact information of President\/Primary Contacts, Treasurer, other Officers\/Leaders, and your WSU Faculty\/Staff Advisor.<\/p>\n<p>Only these identified leaders or officers on your Club Directory can submit official forms on behalf of your club. These forms include the Student Senate Funding Request Form and the Activity Registration Form.<\/p>\n<p>For any questions, or to get edit access, please email the Alliance of Student Organizations Director at\u00a0<a href=\"mailto:ASO@winona.edu\" target=\"_blank\" rel=\"noopener\">ASO@winona.edu<\/a>.<\/p>\n        <\/div>\n    <\/div>\n    <div class=\"accordion__item\" data-animation=\"fade-in-up\" data-animate=\"true\">\n        <button id=\"Step_3:_Update_your_Membership_Roster\" class=\"accordion__toggle\" title=\"Step_3:_Update_your_Membership_Roster\" aria-pressed=\"false\">\n            Step 3: Update your Membership Roster        <\/button>\n        <div class=\"accordion__content\">\n            <p>Update your membership roster by using the people picker tool in the directory. Delete any inactive or graduated members and add in any new ones.<\/p>\n<p>There must be at least 10 current WSU students (between leaders and general members) to be considered active and recognized. Members must be active in your club\/organization and not just a part of an email list of interested students.<\/p>\n<p>Search for members by WSU email address, StarID or Last Name, First Name.<\/p>\n        <\/div>\n    <\/div>\n    <div class=\"accordion__item\" data-animation=\"fade-in-up\" data-animate=\"true\">\n        <button id=\"Step_4:_Update_your_Club_Constitution\" class=\"accordion__toggle\" title=\"Step_4:_Update_your_Club_Constitution\" aria-pressed=\"false\">\n            Step 4: Update your Club Constitution        <\/button>\n        <div class=\"accordion__content\">\n            <p>Download your club constitution and make any necessary changes. Label it as &#8220;<strong>___ Club Constitution 2023-2024<\/strong>&#8221; and attach it to the club directory entry. If you don\u2019t label it this way, we will assume that it hasn\u2019t been updated that year.<\/p>\n<p>If no changes are needed to your Constitution, then you can leave it as it is stored in the club directory.<\/p>\n<p>All clubs and organizations must have the\u00a0<a href=\"https:\/\/www.winona.edu\/wp-content\/uploads\/2023\/10\/Club-Constitution-Language-Requirements-2022.pdf\">new required language<\/a> (PDF) in an updated constitution.\u00a0If this required language is not in your constitution, you will not be approved as an active club.<\/p>\n        <\/div>\n    <\/div>\n    <div class=\"accordion__item\" data-animation=\"fade-in-up\" data-animate=\"true\">\n        <button id=\"Step_5:_Record_a_New_Welcome_Video_Message\" class=\"accordion__toggle\" title=\"Step_5:_Record_a_New_Welcome_Video_Message\" aria-pressed=\"false\">\n            Step 5: Record a New Welcome Video Message        <\/button>\n        <div class=\"accordion__content\">\n            <p>All clubs are required to record a new video welcome message each year to help give prospective students and potential new members more insight into what your club\/organization is about, typical things you do, and how to join.<\/p>\n<p>All videos must be uploaded to MediaSpace. Make sure to test your video link before submitting it.\u00a0<a href=\"https:\/\/www.winona.edu\/wp-content\/uploads\/2023\/10\/Instructions-for-Club-Directory-Video-2022.pdf\">Follow these instructions<\/a> (PDF) to create and upload your welcome message.<\/p>\n        <\/div>\n    <\/div>\n    <div class=\"accordion__item\" data-animation=\"fade-in-up\" data-animate=\"true\">\n        <button id=\"Step_6:_Submit_the_Registration_Form\" class=\"accordion__toggle\" title=\"Step_6:_Submit_the_Registration_Form\" aria-pressed=\"false\">\n            Step 6: Submit the Registration Form        <\/button>\n        <div class=\"accordion__content\">\n            <p>Click the submit button at the bottom of the page to ensure everything updates and is correct. This will send a workflow off to the ASO Director to review your Club Registration information for approval. If they have any questions or comments, they will let you know.<\/p>\n        <\/div>\n    <\/div>\n<\/div>\n\n\n\n<h2 class=\"wp-block-heading\">Submit the Annual Advisor Agreement Form<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">All clubs and organizations must have their advisor(s) fill out an&nbsp;<a href=\"https:\/\/www.winona.edu\/wp-content\/uploads\/2023\/10\/2020-Updated-Advisor-Agreement-Form-2020.pdf\" data-type=\"link\" data-id=\"https:\/\/www.winona.edu\/wp-content\/uploads\/2023\/10\/2020-Updated-Advisor-Agreement-Form-2020.pdf\" target=\"_blank\" rel=\"noreferrer noopener\">Advisor Agreement Form<\/a> (PDF)&nbsp;once a year. This ensures that there is accurate contact information for club\/organization advisors in each group.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It is club leadership\u2019s responsibility to make sure this form is complete and submitted on time.
