Interlibrary Loan (ILL) Personnel
Interlibrary Loan is located on the first floor of the Library just beyond the Circulation Desk, and is part of the Access Services Department.

Interlibrary Loan Policies
For Winona State University Patrons
Interlibrary Loan will honor the requests of current students, faculty, and staff. In addition, we will honor requests from alumni, emeritus faculty, and retired staff members. Courtesy card holders have access to Interlibrary Loan privileges at the discretion of the Interlibrary Loan Librarian.
  • If a WSU Library item is checked out, we will request the item from another library.
  • A Lost item is billed at $75.00 or the lending library's charge, whichever is greater.
  • Requesting that items be faxed from other libraries for WSU patrons is done at the discretion of the Interlibrary Loan Librarian.
  • If the item requested is not located in a Minnesota library, it will be ordered at the discretion of the Interlibrary Loan Librarian.
  • Interlibrary Loan requests received for online full text photocopies are returned to the patron noting the full text article is available at the Library. However, if the patron needs illustrations (charts, statistics, etc.) not included online, a hard copy of the article will be ordered. This will be done at the Interlibrary Loan Librarian's discretion. When transmitting a request for a full-text hard copy we comply with the copyright regulations.
  • Notices are only sent via email. Most interlibrary loan articles will be sent via email. Articles that aren't sent via email and all interlibrary loan books may be picked up at the WSU Library Circulation Desk.
  • Renewals may be requested from the “Your Library Record” link from the WSU Library catalog and going to the interlibrary loan section. Renewals are allowed at the discretion of the lending library.
  • Failure to return items by their due dates will subject patrons to having their library and university records blocked in addition to replacement charges. More details are available in Circulation Policies.

For libraries borrowing from the Winona State University Library
  • Requests received via A.L.A. loan forms, MnLink, PALS, MINITEX, OCLC, email, fax or Ariel will be honored, so long as copyright is properly acknowledged.
  • Books and videos are loaned for a period of 28 days. Books may be renewed by the borrowing library if a Winona State University patron has not requested or put a hold on the item.
  • If there is a circulating copy, Graduate Research Papers (Theses) are loaned for 28 days. (The first copy is Archival).
  • Periodicals and uncataloged microform materials are not loaned, with the exception of Federal Depository materials.
  • Cataloged microfilm circulates.
  • Patrons of the WSU Library have first priority; books checked out to them will not be recalled for use by a patron of another library.
  • Replacement costs for Interlibrary Loan are the current price for the item as determined by the WSU library plus $10, or, if no price can be determined, $10.00.

Creating a Book ILL Request while searching MnPALS
  1. To locate books at other libraries, go to the web site to search MnPALS
  2. Login using the barcode on the back of your WSU ID or community card. It starts 20106000... In most cases, your password is your last name. Select Winona State as your home library.
  3. Search MnPALS to find the book(s) you want. Click on the title of the book that interests you to see its complete catalog record.
  4. TO REQUEST THE BOOK THROUGH INTERLIBRARY LOAN, CLICK ON THE "ILL Request" OPTION ON THE BAR ABOVE THE CATALOG RECORD.
  5. Scroll down the request form until you see the "Not Needed After?" field. Fill this in exactly in the MM/DD/YYYY format. The computer will reject the request unless it is in this format. For books, you do not need to check the box that asks for copyright agreement.
  6. Scroll to the bottom, click on "Go."
  7. A summary screen will appear. Please review your request. If it looks correct, click on close, otherwise, click on "Cancel."
  8. Check on your request status by clicking on "Your Borrowing Record" and then on "Active ILL Requests."

Creating a Book ILL Request while searching MnLink
  1. To locate books at other libraries, go to our Library Catalogs and choose MnLink. Or use the drop down menu in MnPALS and choose MnLink.
  2. Under the "Enter Keywords" button is a selector box for library groups ("Current Profile"). "Libraries, Academic", if you want to narrow down the libraries. Enter your keywords, then click " SEARCH".
  3. Search MnLink to find the book(s) you want.
  4. TO REQUEST THE BOOK THROUGH INTERLIBRARY LOAN, CLICK ON THE "GET IT!" BUTTON.
  5. The boxes for your barcode and password (last name) will then appear. Once you've filled in that information (choose "My Library" for the location) and sent it, then the record reappears, along with a "Request via ILL " link.
  6. Click on that link.
  7. A form with all the information filled in will then appear. Check to make sure it is the correct book and edition, then click on "Submit". If you only need a chapter from the book, the form now allows you to specify that.

Creating an Article ILL request using Find It!
  1. Start by clicking on the Find It! Article link.
  2. Enter the citation for the article you wish to obtain. Fill in as many elements as you know.
  3. Click on the "Search for Article" button.
  4. If the article is available Full Text online, click on the link to go straight to the article. If you are off campus or in the residence halls, you will likely have to log in here with your barcode and password, see below.
  5. If the article is in the Library in Paper, it will be listed under "WSU Holdings (Krueger Library)". If it is not available Fulltext online nor in paper in the Library, click on the link that says "More Options (Interlibrary Loan, RefWorks, etc.)"
  6. Fill out this ILL Request form. Type in the barcode on the back of your WSU ID or community card. It starts 20106000... In most cases, your password is your last name. Select Winona State as your home library.
  7. Make sure that all fields that have a star next to them have data.
  8. Scroll down the request form until you see the "Not Needed After?" field. Fill this in exactly in the MM/DD/YYYY format. The computer will reject the request unless it is in this format.
  9. Scroll to the bottom of the form and make sure to check the box that asks for copyright agreement.
  10. Click on "Go."
  11. A summary screen will appear. Please review your request. If it looks correct, click on close, otherwise, click on "Cancel."
  12. Check on your request status by clicking on "Your Borrowing Record" and then on "Active ILL Requests."

Track your current ILL Requests
  1. Go to the WSU Library Catalog and click on "Your Library Record".
  2. Type in your 14-digit barcode and your password. In most cases, your password is your last name.
  3. Then click on "ILL active requests" to see the status of your current requests.
  4. Look in the "Status" column for information on where it is in the loan process.

Receive or pick up ILL Requests

Books/Videos
When the requested book(s) or video(s) has arrived in the library, faculty and students will receive an email in their WSU webmail accounts that the book(s) or video(s) is ready to be picked up. The item(s) can be picked up at the Circulation Desk.

Articles
The Library now sends most interlibrary loan articles to faculty email and student WSU webmail accounts. Such articles may overwhelm the size quota for free email sites such as Hotmail, so those who forward their Webmail to Hotmail may have problems receiving articles.

Renewal Requests

Decisions on interlibrary loan renewals are made by the lending library, not by the WSU library. To request an interlibrary loan renewal, click on "Your Library Record" from the WSU Library Catalog. Then go to the interlibrary loan section and click on active requests. Click on the number for each item you wish to renew, and click on the "renew" button. If the "renew" button doesn’t work you may send the renewal request details to library@winona.edu.

If the lending library grants the renewal, the status will change for that item to "renewal granted". Otherwise, the status will indicate "renewal denied". Patrons are responsible for returning interlibrary loan materials by the due dates.

Report a Barcode Problem

If the computer will not let you request your materials, please call Susan Byom at 457-5139 to ask for her assistance, or you can also send Susan an email at sbyom@winona.edu.

If you have problems with your WSU ID (not validated, blocked because of overdues, or expired) either fill out the Barcode Problem Form or come to the Circulation Desk to have your ID problem checked before picking up your materials.
