Candidate Reimbursement
Winona State University welcomes candidates to visit campus as part of the interview process. Travel-related expenses for visiting campus may be eligible for reimbursement.
General Information
- Reimbursements are processed after travel has concluded.
- Reimbursements are paid directly to the candidate by the State of Minnesota. Human Resources will provide you with instructions on how to set up an account with the state for the reimbursement.
- Itemized receipts showing proof of payment are required for expenses.
- Do not charge expenses to the university.
Lodging
Candidates must book their own single occupancy hotel reservations at a licensed lodging facility.
Hotel expenses are reimbursable, excluding room service, meal charges, and other fees not deemed reasonable.
Transportation
University vehicles are available for the search committee to transport a candidate between a hotel and the campus. Parking and toll expenses incurred are reimbursed at actual cost.
This expense is reimbursed at the IRS standard mileage rate for business and will be calculated using for the most direct route.
If driving long-distance instead of flying, reimbursement is at a lower rate and shall not exceed the lowest round-trip main cabin airfare.
Compact or mid-size/intermediate rental vehicle categories reimbursable. However, no upgrades, GPS or add-on devices are permitted.
Gasoline for the rental vehicle is reimbursable.
Airfare reimbursement is for the main cabin class only. Upgrades, pre-assigned seating, or travel insurance are not reimbursable.
Reasonable baggage fees are reimbursable.
Airport parking is reimbursable.
Meals
Meals are reimbursed when a candidate is in travel status, which is determined by the duration of travel and the time of day. Reimbursements are based on actual costs, up to the maximums defined in the applicable collective bargaining agreement or compensation plan.
- Breakfast: Reimbursed if in travel status overnight or left home before 6am
- Lunch: Reimbursed if in travel status and travel is over the normal lunch hour
- Dinner: Reimbursed if in travel status overnight or returned home after 7pm
Candidates who are in travel status for two or more consecutive meals shall be reimbursed for the actual cost of the meals up to the combined maximum amount for the reimbursable meals.
