Mail & Deliveries
Located in Facilities Services Building 101, the Mail Room coordinates on-campus delivery of mail and packages.
Campus departments or organizations cannot be reimbursed for postage and postage stamps.
Contact Creative Services at 507.457.5025 for printing envelopes with the WSU return address.
Contact the Mail Room at mailroom@winona.edu to order inter-campus envelopes.
WSU has the following permits with the US Postal Service (USPS):

- Business Reply
- Postage Due
Use the Shipping Services Form (PDF) to send domestic deliveries.
Outgoing metered mail leaves the Mail Room around 1pm each day. Letters received after 1pm may not go out until the next day.
It is difficult to pick up a lot of extra mail while on the normal mail route.
If there is excess mail to be picked up, call the Mail Room at 507.457.2433 or email mailroom@winona.edu to arrange for a special pick up.
Since the volume of mail and packages fluctuates daily, the Mail Room cannot guarantee morning delivery to all departments.
Do not have personal mail sent to Winona State University.
Outgoing international mail should be identified as such by wrapping a rubber band around the envelope(s).

Resident Hall Student Mail & Shipping Addresses
Each residence hall has a mailing address for student mail and packages.In the summer, mail and packages are delivered directly to the Housing Office in Kryzsko Commons.
Work Order Requests
All work order requests, requests for assistance, motor pool inquiries, and any other facilities concerns must be sent through the Facilities Services request process.
Do not stop our workers and ask them to relay a message to another worker or the office. We cannot guarantee your request will be received by the Facilities Services office, and our team may not follow through if the request is not properly tracked.
Email Facilities Services at facilities@winona.edu with:
- Your name
- Contact phone number
- Location—building & room number
- Brief description of work needed
The Facilities Services inbox is monitored Monday – Friday from 7am-3:30pm.
We’ll respond with the work order number issued for that particular request(s).
Keep a copy of our email response until the job has been completed.
If you’d like to follow up on the status of a request, you’ll need to provide the work order number.
If you reach out to an individual staff member, your work order request may be delayed depending on their availability to respond.
Call Facilities Services at 507.457.5045 and choose the relevant area for your request.
This extension is monitored 24 hours a day, 7 days a week. If this line is busy during regular office hours, the call will roll over to ext. 5047.
If both extensions are busy, please leave a voicemail message at the prompt and we will get back to you.
If your call is urgent, wait several minutes and try calling again.
After regular office hours, your call will be transferred to WSU Security.
You are welcome to stop by our office and we will help address your concerns.
Key Requests
WSU employees can have access to building keys with authorization from the Dean or Department Chair.
For security purposes, there may be restrictions on certain key requests. These restrictions are determined by the WSU Locksmith and are considered on a case-by-case basis.
All building key requests are processed through Facilities Services.
After receiving the Key Issuance Form via intra-campus mail, send the form with the proper signatures back to the Facilities Services Main Office.
The requester will be contacted when the key is ready. For security reasons, the key must be picked up and signed for by the requester.
Signage Requests
WSU employees can submit a signage request for department wall signs, department suites, and individual offices.
Surplus Property
Surplus property is any state-owned property that is obsolete, unused, not needed for a public purpose, or ineffective for current use.
This includes equipment, materials, supplies, books, printed matter, buildings, and other property.
Advertised surplus items must be used on campus. You cannot take them home for personal use.
If you or your department has surplus items, these items must be advertised to the campus community for at least 7 days.
To advertise surplus items, complete the following steps:
- Owner of the surplus items sends a brief description, quantity, photos, location, and contact email of the items to surplus@winona.edu.
- Facilities Services will advertise the items by sending a notice to all employees via the WSU-Surplus email address.
- Those interested in the surplus items will contact the Owner of the items directly for information and/or to arrange pickup of the items. Items are distributed on a first come, first served basis.
- If you need help to relocate the items, submit a Work Request.
- Owner of the surplus items will email Facilities Services when the items have been claimed or are no longer available.
- Facilities Services will send a notice to all employees via the WSU-Surplus email address that the items are no longer available.
If there are unclaimed items after the 7 day period, email Facilities at surplus@winona.edu to arrange a pick up.
Items should be stored until Facilities has arranged and confirmed pick up. Do not place items in hallways.
We may ask that you place items by a loading dock or exterior door so that it’s easier for our team to pick up.
Once the items are brought back to Facilities, we will determine if the items should be advertised to our statewide colleagues who qualify for them or if it should get recycled.
If your department wants to advertise items on the statewide auction, the item must have a minimum value of $50.
This is what the State charges us to advertise each item.
