New Employees

Welcome to Winona State—we’re so glad you’re here! Here’s what you need to know to get started quickly so you can spend less time looking for things and more time enjoying your new role.

Prior to Your First Day

WSU is part or the Minnesota State system which is comprised of 33 state colleges and universities. WSU hires will receive an email with the subject “Welcome to Minnesota State!” from noreply@minnstate.edu.

Check your personal email junk and clutter boxes, if you do not see it. If you do not receive this email prior to your first day, contact Human Resources.

Review and complete the tasks as outlined in that email to gain access to the HR system and employee technology (e.g. email).

If you are new to Minnesota State, your email will include a personalized link that will guide you through the activation of your Minnesota State user ID (StarID) and establish your employee affiliation with WSU. If you do not receive this email prior to your first day, please contact Human Resources.

If you are a previous Minnesota State student, concurrent enrollment instructor or an employee at any of the Minnesota State Colleges or Universities, you will already have a StarID. Select the option for “I have an affiliation with Minnesota State” and follow the steps to reactivate your StarID. If needed, you can retrieve your StarID and reset your password in the StarID Self Service.

You will receive an email with information about Multi Factor Authentication (MFA). MFA is an authentication method that requires the user to provide two or more verification factors when attempting to gain access to services or systems. Those affiliated with Minnesota State must enroll in MFA prior to accessing Minnesota State systems.

The MFA FAQ and Instructions will answer questions you may have about MFA and guide you through this process. Your username is your StarID followed by @minnstate.edu.

Workday is Minnesota State’s Human Capital Management System.

You may receive onboarding task messages from Workday prior to activating your StarID and setting up MFA. However, do not attempt to click on or complete these tasks in Workday until after you have activated your StarID and set up MFA. Wait at least 1 hour after receiving your StarID before attempting to log in to Workday.

Access Workday using your username (StarID@minnstate.edu), your StarID password, and MFA credentials.

When you login, your personal dashboard will direct you to important onboarding tasks. These tasks will appear in groups. Once you complete a group, another set of tasks will appear. The I-9 is the last task.

Assigned tasks may include:

  • Tennessen Warning
  • Personal Contact Information
  • Emergency Contact
  • EEOC data
  • Retirement Questionnaire
  • I-9

Need help? Minnesota State has a Completing Onboarding in Workday job aid (PDF) available to guide you through the steps to complete your onboarding process in Workday. Completing the Workday tasks promptly ensures you have access to technology and are set up to receive pay.

As required by US Citizenship and Immigration Services, all new and rehired employees must complete the Employment Eligibility Verification Form I-9 and present acceptable documents that establish identity and employment authorization.

Employees who are unable to meet federal I-9 requirements cannot lawfully be employed.

Review the list to ensure you have unexpired document(s) to complete the I-9. If you need new documents, contact the issuing agency.

Faculty, Adjunct Faculty, Administrator, and MSUAASF (ASF) appointments require the receipt of official transcripts conferring your terminal or highest degree prior to your first day. To be considered official, transcripts must be sent directly from the degree granting institution to Winona State University.

Foreign Transcript Evaluation

Individuals who have completed college or university course work at an institution in a country other than the United States must obtain a complete evaluation of foreign transcripts, degrees, and the translation of other relevant employment documents.

A detailed, course-by-course, foreign transcript evaluation is required. Providers of these evaluation services can be found on the National Association of Credential Evaluation Services (NACES) and the Association of International Credential Evaluators (AICE) websites.

The evaluation services providers are private enterprises that charge fees for the service. Individuals seeking a foreign transcript evaluation are responsible for the fees assessed and must follow the procedures outlined by the organization providing the evaluation.

Form I-9

  • Winona Campus: Human Resources in Somsen 114
  • Rochester Campus: Email Student Services at wsurstudentservices@winona.edu for an appointment
  • Remote: If you are unable to come to campus, call Human Resources at 507.457.5005 to arrange an alternative option

After you complete your onboarding tasks in Workday, faculty and staff devices (e.g., desktops, laptops, docking stations, scanner, and printers) may be requested through Tech Support.

Winona

Winona is a scenic and welcoming community nestled in the bluffs of the upper Mississippi River Valley. Winona offers many recreational, cultural, and entertainment opportunities. The city is within easy driving distance of La Crosse, WI (approximately 30 minutes), Rochester (approximately 45 minutes), and Minneapolis-St. Paul (approximately 2.25 hours).

Rochester

Rochester is a growing city with a population of over 100,000. Rochester offers arts, entertainment, shopping, an abundance of dining options and outdoor opportunities such as city parks, bike trails and lake activities. The city is located near Winona (approximately 45 minutes), and Minneapolis-St. Paul (approximately 1.5 hours).
